CRM: leads, deals and follow-ups

The CRM menu appears once your company has the CRM add-on (or Field visits, which includes it). With CRM or Projects, HR · CRM · Projects above the menu shows one part at a time.

Set up once

  1. CRM › CRM setup › Choose your industry: what a deal is called, its stages, lead sources, reasons for losing and extra fields are filled in for that business.
  2. Words and lists, Extra fields and Pipelines and stages: change anything to suit you.
  3. Give sales staff the permission Own leads and follow-ups in Settings › Roles: they see only what they and their team look after.

Leads and clients

  • Add client or lead, or Import from Excel with columns Name, Contact person, Phone, Email, City, Source, Industry, Notes, Type and Looked after by. Check first, then save.
  • The same phone (last 10 digits) or email cannot be added twice; you are told who already has it.
  • Open one to see its people, deals and the history of calls, visits and follow-ups.

Deals and follow-ups

  1. New deal on a client or lead: what it is for, value, close-by date and your extra fields.
  2. On the board, drag the deal to the next stage, or use Move to… on a phone. The lost stage asks why.
  3. Log a call or follow-up records what happened and plans the next one; the app reminds the person before it and sends the day's list at 9.
  4. Won: the lead becomes a client, a Meetings client (with Client meetings) and a project (with Projects).

Frequently asked questions

Why can a salesperson not see a lead?

With Own leads and follow-ups they see only leads looked after by them or the people reporting to them. Change Looked after by on the lead, or give them See clients and leads.

Can we have more than one pipeline?

Yes. CRM › CRM setup › Pipelines and stages › Add a pipeline. New deals start in the first.
