Setting up your company

Your company's first login belongs to the owner (role Admin). Set the company up in this order before inviting anyone. The Getting started list on your dashboard follows the same steps and ticks each one as you finish it.

Before adding staff

  1. Sign in at your company's address (for example yourcompany.hrbingo.com/app) or at hrbingo.com/sign-in. Change the temporary password at once: initials button at the top right › Profile.
  2. Settings › Company: check the time zone, and under Email replies give your HR email. Emails to staff go out under your company's name; replies reach this address.
  3. Settings › Office locations › Add office location: name, map point and how close staff must be to clock in.
  4. Time & leave › Shifts: start and end times, break, grace minutes and weekly offs. Mark one shift as default.
  5. Time & leave › Holidays: this year's holidays; tick the optional ones.
  6. Settings › Leave types and Settings › Leave policies: see How leave works.
  7. People › Departments and People › Designations: your structure.

Adding your people

  1. Add yourself as an employee if you also clock in, take leave or get a payslip: People › Employees › New employee with your own login email, then ⋮ More › Give login.
  2. People › Employees › Import (Excel) or New employee: set each person's reporting manager, shift and leave policy.
  3. Payroll › Salaries: each salary, or Import from Excel. Download the Excel template first.
  4. Settings › Approval flows: who approves leave, corrections, shift changes, expenses and resignations.
  5. Give logins: People › Employees › ⋮ More › Give login › Email a welcome link. Each person chooses their own password from the email.
  6. Letters › Templates › Letterhead and signatory, and Settings › Employee handbook.
Menus follow your package: a section you do not see (for example Payroll or Letters) is not in your plan. Importing employees and salaries does not send joining or increment letters for old data.

Frequently asked questions

Who can see what?

The Admin sees everything. HR sees the same except logins, company settings, billing and support access. A Manager sees and approves for the people who report to them. An Employee sees only their own My space.

Can we have more than one admin?

Yes. Settings › Logins & roles lists every login; change a role there.
