Running payroll

Payroll takes salaries, attendance, leave, additions and approved expense claims and works out every payslip with the statutory deductions in force on the date.

Once

  • Payroll › Pay heads: Basic, HRA, allowances… and whether each counts for PF wages, ESIC, tax and unpaid-day cuts.
  • Payroll › Salaries: Set salary from a date, or Import from Excel (per pay head, or a salary structure with the CTC). A change is a revision; earlier months keep the old salary.
  • Payroll › Salary file formats: the layout your bank needs for bulk salary upload.
  • Payroll › Salaries buttons: History shows a person's salary revisions; Earlier this year enters pay already given this financial year before HR Bingo (needed for correct TDS); Excel template and Import from Excel set many salaries at once.
  • Payroll › Monthly payroll › Overtime, late coming, absence: overtime, the late-coming cut (free late marks, then a day's pay for every so many), working hours and unauthorised absence (see Attendance).
  • On each salary, the State sets Professional Tax, LWF and minimum wages, and the Minimum wage category (unskilled to highly skilled) lets HR Bingo warn when basic and DA are below the state minimum.

Every month

  1. Check Payroll › Additions and deductions: arrears, incentives, overtime, advances, loan recovery.
  2. Work out a month.
  3. Open the month and check each payslip. Fix any input and work it out again.
  4. Lock it when correct, then Mark paid with the date. Payslips appear for staff, and the bank file, wage register, PF ECR and ESIC files can be downloaded.

Statutory rates

PF (with the ₹25,000 wage ceiling from 17 September 2026), ESIC, Professional Tax and LWF for every state and union territory that has them, and TDS under both regimes are kept by HR Bingo with the dates they apply from. You do not enter rates yourself.

Loans and salary advances

Off until you switch it on: Payroll › Monthly payroll › Loans and advances › Give loans and advances through HR Bingo.

  • Limit: a number of times the monthly gross (e.g. 4), a fixed amount, or whichever is lower. Interest free, or interest a year on the reducing balance or flat. Longest repayment, EMI cap, months of service, confirmed staff only, one loan at a time.
  • Salary advances: interest free, up to a number of times the gross, recovered in a few months.
  • Staff ask under My space › My loans and see the EMI before sending. It goes through the Loan approval flow.
  • Payroll › Loans and advances: Pay out an approved loan and pick the salary month the EMI starts with. The EMI is then cut from each payslip by itself.
  • Under More: Skip a month, Change EMI, Record a repayment (paid outside salary). Statement shows every EMI and what is left.
  • Add an existing loan: a loan given before HR Bingo, with what was already repaid and the month the next EMI comes from.
  • Whatever is left goes into the full and final. A cheap or interest-free loan above ₹20,000 adds a perk value for TDS (not for medical loans).

People leaving

Payroll › Full and final: leave encashment, gratuity, notice pay and recoveries; Statement, then Finalise. Paying it issues the relieving and experience letters.
