How handbook search works
- HR uploads the handbook as a Word (.docx) or PDF file of up to 20 MB.
- HR Bingo splits it into sections using its headings.
- Staff type a question in plain words on the app. They see only the sections that match, not the whole file.
- The handbook screen also lists the sections people opened most in the last 90 days.
- To update the handbook, upload the new file. The latest upload replaces the earlier one for search.
What HR sees
- How many searches were made, and by how many people, in the last 30 days
- The most common searches
- Searches that found nothing, so you know what to add or reword
- The sections HR Bingo found in the file, to check the split
Employee records and documents
Each employee's documents (ID proofs, offer letters, certificates) are stored privately, with an expiry date where needed, and only admin and HR can see them. Employee records can be imported from Excel; the file is checked first and then saved.
Frequently asked questions
Which files can we upload?
Word (.docx) and PDF files, up to 20 MB. Save an old .doc file as .docx before uploading.
Can staff download the handbook?
No. Staff do not get the file. They search it and read the sections that match.
Our handbook is a scanned PDF. Will it work?
No. A scanned PDF is an image, so its text cannot be read. Upload the Word (.docx) version of the employee handbook instead.
